Create one source folder before uploading
Gather the current brief, source documents, brand files, datasets and examples in one folder. Remove obvious duplicates and temporary downloads so the project does not begin with competing versions.
Keep original Word, PowerPoint, Excel, design or project files whenever editable delivery is expected.
Use filenames that explain the file
Names such as final-final2.docx or image1.png create unnecessary risk. A useful filename identifies the project, content and version or date.
- Use ProjectName_Content_2026-07-26.ext.
- Mark approved items clearly.
- Keep earlier versions in an archive folder.
- Add a note when two files must be used together.
Identify confidential material
Tell the project team which files contain personal data, client information, unpublished research or commercial material. Share only what is needed for the agreed scope.
Use the secure project form and client portal for working files. Ordinary email can help with early questions, but it should not become the uncontrolled project archive.
Include a one-page file guide
List the important files, their purpose and any known issue. Explain which document controls the wording, which spreadsheet has the current data and which logo or brand file is approved.
The goal is to give the freelancer enough reliable context to begin correctly and raise useful questions early.
